Cypress is a feature-rich desktop application for skilled nursing facility (SNF) therapists and managers. The software was designed specifically for the unique challenges faced by SNF rehab departments. RehabExpert fully integrates all of the systems required by rehab therapists, including PPS support, outcomes, billing, and documentation.

For contract rehab companies, OutcomesExpert includes a central module that is used to manage critical data elements that must remain consistent for several facilities, automatically collect data from facilities overnight via modems, and automatically generate scheduled reports and billing documents.

Both programs are written in Delphi and can be used with Windows 98, ME, NT, 2000, and XP platforms. KMS also develops custom export programs as specified by customers. The programs operate as single-user or multi-user with robust client-server database support. Data can be entered via desktop and laptop computers. The programs also can support wireless networks.

They are designed specifically for skilled nursing facilities and rehab departments.

Both products support several billing arrangements for Medicare-A PPS, Medicare-B fee schedules, managed care, and more. Minute utilization reports provide information about patient treatments that are out of compliance with established RUGs levels. The therapist scheduling system uses RUGs levels to anticipate and streamline scheduling process.

The HIPAA compliance features include audit tracking, user authentication, encryption for data transfer, and e-mail. Other features include patient admission and discharge tracking, treatment and evaluation tracking, distribution of treatment minutes to appropriate CPT codes, HCFA 700/701 Plan of treatment with SmartText, interdisciplinary outcomes, discipline-specific outcomes with modality tracking, word processing with templates and patient merge, and contract rehab invoices with support for many PPS and managed care billing arrangements. The programs also track labor hours and print labor logs, track payroll hours and print timesheets, offer facility profit reporting and billing forecasts, track referral sources and print sophisticated analyses, have sophisticated therapist/patient scheduling, have an accounts receivable system, prepare caseload reports, track CPT utilization, and have service logs, and therapist productivity graphs and reports.

KMS’ customer service includes on-site training and deployment, call-in support, and continuous upgrades with release notes. User manuals are designed to be self-paced hands-on tutorial. The price for the programs ranges from $1,000 to $5,000, depending on the number of sites, and whether data is managed at a central office or on computers at off-site facilities.

Rehab Management Toolkit (RMT) offers a complete integrated solution for all needs within a rehabilitation clinic including outpatient, inpatient, hospital, private practice, enterprise acute care, and skilled nursing facilities. RMT also offers flexibility to match work flow and modeling of the clinic. Among RMT’s features are patient intake, patient scheduling, notes (complete and customizable evaluations through discharge summaries), billing (both patient and contract therapy supported), management reporting, system administration and security, letter merges, electronic claim submission, electronic remittance advice (auto payment posting), collections modules, and service queue. RMT also features prospective payment system applications, which are supported and customizable in the company’s contract therapy module.

RMT is written in Microsoft Visual Basic, and can be used on all Windows operating systems supported, including Windows 2003 Advanced Server, 2003 Server. It can support both multiple and single locations and users. Rehab Management Toolkit supports several methods of data input, including tablet PCs, laptops, bar coding, and scheduling integration with PDA devices. The price of the RMT varies with location and usage.

The company offers complete implementation and training services on-site and via Web training. Help desk support is offered from one facility via a toll-free call from 7 am to 7 pm CST. Upgrades are included with the extended support agreement.

The multi-user, multi-facility-based MediLinks is designed to be used primarily in hospital-based inpatient and outpatient rehab services or by large outpatient rehab chains. MediLinks is written in C#/C++ and can be used on Windows and Microsoft SQL servers, and can interface with every leading hospital information system via HL7. Included among its features are patient scheduling, resource management, patient evaluations, data management, utilization, management reports, outcomes reports, charge capture, authorizations, and template, flowsheet, or branching logic based documentation. In addition, MediLinks includes prospective payment system applications. The software supports point of care charting via wireless networks and handheld devices or through synchronization-based mobile devices.

MediServe supports MediLinks through implementation, clinical consulting, IT professional services, and 24/7 technical services.

The MediLinks price is department and facility dependent; priced per concurrent user.

Endorsed by both the APTA and the AOTA, ReDoc is appropriate for all settings where physical, occupational, and speech therapy services are provided. ReDoc is written in C# and Visual Basic, and the platform is in MS.NET with an MS SQL database. It can interface with many leading billing applications. Among the features of the multi- and single-user based software are comprehensive documentation components specifically for PT, OT, and SLP that address clinical and compliance issues throughout the patient’s entire treatment cycle. ReDoc also offers scheduling, management reports, outcome reports, and coding alerts at the point of care. Prospective payment system applications are not currently available, but will in the near future. ReDoc entries can be made in a number of ways, including desktops, laptops, and tablets on a local or wide area network. ReDoc provides technical support 7 am to 6 pm CST, Monday through Friday. The training is provided by physical therapists either over the phone or on-site. ReDoc will release one or two upgrades annually. The cost of ReDoc varies with the size, complexity, and needs of the clinic. The price could be as low as $1,500 for a one-user clinic.

Raintree Therapy Manager offers users a full suite of Practice Management Solutions. Every module within Raintree Therapy Manager is built to support reimbursement (billing and collections) functions. This includes scheduling, clinical documentation/EMR, utilization tracking, outcomes reporting, financial management reporting, and marketing features. Raintree users are provided all business critical application functions in a single platform. Raintree is capable of scheduling with multiple views. Entire staff views may be managed in consolidated views. Raintree also manages recurring appointments.

Raintree’s ultra-thin-client technology provides organizations with the ability to tie multiple locations together without the need for Citrix, MS terminal services, or any other third-party "technology layer." A multi-user, multi-site application, Raintree can be run over dial-up or greater Internet connections with HIPAA-compliant encryption without the need for virtual private networks or any third-party encryption products. The system is designed for use in outpatient clinics, surgery centers, educational institutions, and rehab centers, and by developmental disabilities providers.

Written in Delphi 7 and using Windows operating systems ultra-thin-client application as its operating platform, Raintree provides customers with the ability to share any table data between databases and manage multiple databases quickly and easily. Complete role-based user security is maintained within all databases. Since it can be integrated with other programs, Raintree Therapy Manager supports wireless laptops, tablet PCs, and desktop computers. Raintree also supports dictation, document scanning, and bar code data entry.

Raintree provides 24 hour a day, 7 days a week software maintenance with upgrades and training included. The program price starts at $4,000 and is based on a Concurrent User Pricing Model.

The systems are designed for standard desktop/laptop Windows environments—including wireless connected computers—and integrate with leading rehab solutions from companies like Redoc, Cedaron, MediNotes, BMS, PTOS, TurboPT, and DBC.

AppointmentsPRO. In addition to advanced patient scheduling and tracking features, AppointmentsPRO can automate appointment reminders by phone, e-mail, and/or mail; share scheduling data with a practitioner’s Palm, and generate 60 reports covering virtually every aspect of practice management. The system is ideal for a single user or a group of network users. (Practices with multiple sites or departments can centralize their scheduling with SpectraSoft’s AppointmentsCS; hospitals in need of functions like procedure-, protocol- and rules-based scheduling should consider AppointmentsES.)

DocuPRO. SpectraSoft’s documentation system is powered by 150 body-specific templates that speed a therapist through evaluations and documentation with almost no typing. Forty professionally designed report templates generate a wide range of summaries for internal records, referring physicians, and insurers. DocuPRO generates detailed documentation and automatically converts all charted activity from the patient visit into CPT codes, minimizing the chance of denials or the need to resubmit claims. A 4-year study at 40 PT clinics found it increased the average collections per encounter by nearly 20%. DocuPRO also integrates with and sends outcomes data to the TAOS national outcomes system.
